Privacy Policy

Version 2026-10-09. How The Converts Club collects, uses, shares and protects your personal data, in line with the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.

1. Who is responsible

  1. 1.1Samrudh Dhaimodkar, sole proprietor, trading as The Converts Club is the “data fiduciary” for personal data collected through our website. Our Grievance Officer is Samrudh Dhaimodkar; reach us through the Contact page on our website.

2. What we collect

  1. 2.1Account details: your name, email address, phone number, and password (stored only as a one-way cryptographic hash, never in readable form).
  2. 2.2Profile details you choose to give us: college, work experience, calls received, target institutes, strengths and weaknesses, and similar preparation information.
  3. 2.3What you submit: resumes, essays, SOPs and other documents, and your messages with us and your mentors.
  4. 2.4Session data: bookings, attendance, mentor feedback and scores, ratings you give, and, where sessions are recorded, the recording.
  5. 2.5Payment records: order amount, coupon used, and payment status and reference from Razorpay. We do not receive or store your full card, UPI PIN or bank login details.
  6. 2.6Technical data: IP address, device and browser type, and security logs, used to keep the service safe.
  7. 2.7For mentors, in addition: professional photo, institute, LinkedIn profile, availability, session history, and payout details (kept encrypted).
  8. 2.8We use only essential cookies that keep you signed in and secure. We do not use advertising or cross-site tracking cookies.
  9. 2.9On our public pages we count visits and button clicks with a privacy-friendly analytics tool that sets no cookies and does not identify you. It tells us which pages and offers people use, nothing more.

3. Why we use it, and on what basis

  1. 3.1To create your account, take payment, deliver sessions and feedback, match you with a mentor, send reminders and receipts, and give you support. We do this because you ask us to and consent to it when you accept our Terms.
  2. 3.2To keep the service secure, prevent fraud and misuse, and meet our legal duties (accounts, tax and audit records).
  3. 3.3To improve the service, for example by looking at which features are used and how sessions are rated, using aggregated or de-identified data wherever possible.
  4. 3.4We will not sell your personal data, and we will not use it for third-party advertising.

4. Who can see your data

  1. 4.1Your assigned mentor sees the profile information, documents and history needed to run your session. Mentors are bound by a confidentiality and data-protection agreement with us.
  2. 4.2Our administrators see what they need to run and support the service.
  3. 4.3Other students never see your data. In group discussions, other participants see your first name or display name and what you say in the session.
  4. 4.4On public pages, a mentor’s name, photo, college, bio, and an average rating and session count may be shown. Students’ names and comments are not shown publicly.

5. Service providers we rely on

  1. 5.1We use trusted providers to run the service: Razorpay (payments); Vercel (website hosting and file storage); Neon (database hosting); Google (email delivery through Gmail, and sign-in if you choose it) and Resend (email delivery); and a video-meeting provider for sessions (the mentor’s own meeting link or a Jitsi Meet room).
  2. 5.2These providers process data only to provide their service to us, under their own security and privacy commitments. Some of them store or process data on servers outside India. By accepting this policy you consent to that transfer, which is made in accordance with the DPDP Act and any restrictions notified under it.
  3. 5.3We may disclose data where the law requires it, or to protect our rights, safety or those of others, in response to a lawful order from a competent authority.

6. How long we keep it

  1. 6.1Session recordings are kept for 90 days. Documents you upload are deleted within 30 days of an account-deletion request.
  2. 6.2Records we are legally required to keep, such as payment and tax records, are retained for the period the law requires (generally up to eight years), but are kept separately and used only for that purpose.
  3. 6.3Security logs are kept for a limited period. Data that no longer serves its purpose is deleted or anonymised.

7. How we protect it

  1. 7.1Data is encrypted in transit (HTTPS). Sensitive items such as payout details are encrypted at rest. Passwords are hashed. Access is limited by role, and we log administrator actions.
  2. 7.2No system is perfectly secure. If a personal-data breach affects you, we will tell you and the Data Protection Board of India as the law requires.

8. Your rights

  1. 8.1You can ask us to: confirm and give you a summary of the personal data we hold and who we share it with; correct or complete it; erase it; and nominate another person to exercise these rights if you die or become incapacitated.
  2. 8.2You can withdraw your consent at any time. Withdrawing consent means we may no longer be able to provide the Services. It does not affect anything done before you withdrew.
  3. 8.3You can export your data and request deletion from your account settings, or write to us through the Contact page on our website. We will respond within a reasonable time and in any event within the period the law sets.
  4. 8.4If you are not satisfied with our response, you may complain to the Data Protection Board of India once it is constituted and the law allows you to approach it.

9. Children

  1. 9.1The Services are meant for adults preparing for postgraduate admission. We do not knowingly collect data from anyone under 18 without the verifiable consent of a parent or guardian. If you believe a child’s data has reached us without that consent, tell us and we will delete it.

10. Changes

  1. 10.1We may update this policy. For a material change we will notify you and, where the law requires, ask for your consent again.
